Who we are

RenewDesk is operated by CoinKeep Pty Ltd (ABN 85 697 900 673), Australia. These terms apply when you use RenewDesk.

The service and your responsibilities

RenewDesk is a web tool for tracking renewal dates and sending email reminders. Reminders are an aid. You remain responsible for meeting your own and your clients’ obligations, checking dates and completing renewals on time.

RenewDesk does not provide professional advice or guarantee that any renewal is lodged or paid. Check information with your accountant, relevant authority or provider when needed.

Your account and data

Each practice has one login. Keep your credentials secure. You are responsible for activity through your account and for the accuracy of the information you enter.

You must have authority to store and use your clients’ details, including sending them reminders. You retain ownership of the client and practice data you enter. You allow us to process that data to provide the service, as explained in our Privacy Policy.

Fees, trial and automatic renewal

RenewDesk costs A$15 per month or A$150 per year, both including GST. Payments are processed by Stripe. New accounts receive a 14-day free trial with no card needed. Paid billing starts when you subscribe, even if your trial has days remaining.

Paid subscriptions renew automatically each billing period until cancelled. We may change subscription pricing with reasonable advance notice. A new price will apply from a future billing period, and you can cancel before it takes effect.

Cancellation and refunds

You can cancel anytime from the Billing page by selecting Manage billing and cancelling in Stripe’s billing portal. Cancellation takes effect at the end of your paid billing period. Until then, you keep access to the service. Contact us if you need help cancelling.

We do not refund partial billing periods unless you have a right to a refund under applicable law, including the Australian Consumer Law. Cancelling a subscription does not close your account or delete your data.

Acceptable use

Do not use RenewDesk for unlawful content or activity, attempt to breach its security or access another practice’s data, or resell the service.

Intellectual property

RenewDesk and its software, branding and content remain owned by CoinKeep Pty Ltd or its licensors. You receive a limited right to use the service while your account is active, subject to these terms and any applicable subscription requirements. This does not transfer ownership of the service to you.

Your client and practice data remains yours.

Availability and service changes

We make reasonable efforts to keep RenewDesk available, but do not guarantee uninterrupted access or a particular level of uptime.

We may change or discontinue the service with at least 30 days’ notice. If we discontinue it, we will give you a reasonable opportunity during the notice period to export your data before deletion.

The app’s CSV export contains renewal details and linked client names and emails. It does not include every account or client field. Export is available while your trial or subscription access is active. Contact us if you need other information or help exporting after access ends.

Australian Consumer Law

Nothing in these terms excludes, restricts or modifies any guarantee, right or remedy under the Australian Consumer Law that cannot lawfully be excluded, restricted or modified. This applies to all of these terms, including the refund, availability and liability provisions.

Limitation of liability

To the extent permitted by law, our total liability arising from your use of RenewDesk is limited to the fees you paid us in the 12 months before the event giving rise to the claim. This limit does not apply where doing so would exclude, restrict or modify a right or remedy that cannot lawfully be limited, including under the Australian Consumer Law.

Termination and deletion requests

We may suspend or terminate access for a breach of these terms or non-payment. Subscription cancellation or expiry does not automatically delete your saved data.

To close and delete your account, the account holder must email us. We will delete the account and its practice, client and renewal data within 30 days of the request. Associated reminder logs are also deleted with the account. Export any information you need before requesting deletion.

Governing law and contact

These terms are governed by the laws of Victoria, Australia, subject to any rights you have under applicable law.
